Get time back: AI automation for health, wellness and fitness businesses

Hours back, every week.

AI automation for health and wellness businesses takes the repetitive admin off your team: follow-ups, reminders, review requests, intake forms, waitlist offers and, for allied health, report drafting from the clinician’s own notes. Go Forth Digital builds it for Australian clinics and studios inside the systems you already use. A person reviews anything clinical before it goes anywhere, and your client data stays protected.

One short form. We reply within one working day with next steps and a quote range.

Go Forth Digital is run by a founder with ten years in B2B sales and growth, who has co-owned a gym and carried its P&L, and spent five years building websites and systems for health and wellness businesses.

What can be automated?

The work that happens between bookings: chasing, reminding, copying and following up. In the order we usually build it:

  • Enquiry follow-up. Every enquiry answered within minutes, day or night, with the next step and a booking link, and a person alerted when it needs one.
  • Reminders and no-shows. Reminders that cut no-shows, a same-day message when someone misses, and an easy way to rebook.
  • Intake and forms. Intake forms, waivers, consent and referrals sent, chased and filed against the client record, so nobody retypes a form.
  • Trial and intro-offer follow-up. For studios and centres: a message after a first visit or trial class, a nudge before the intro pack runs out, and an offer to join.
  • Review requests. Every client asked the same way, at the same point, with wording that fits your industry’s rules.
  • Win-back and waitlists. Lapsed clients invited back, and cancelled spots offered to the waitlist automatically.
  • Report and note drafting, for allied health. NDIS progress reports, GP letters and assessment reports drafted from the clinician’s own notes into your template. The clinician edits and signs. Nothing is sent without that step.

How does it work for my type of business?

Every business has its own Friday pile. These are the ones we see most.

  • Allied health practices Report drafting, referral and support coordinator admin, plan and referral expiry tracking, and recall at the end of a plan. Practices with report-heavy clinicians often get the most hours back here.
  • Wellness and recovery centres First-visit follow-up, pack and membership renewals, waitlist offers for cancelled sessions, and review requests after the second or third visit.
  • Fitness studios Trial-to-member follow-up, missed-class check-ins, failed payment messages, and win-back for members who’ve gone quiet.

Is AI automation safe with client data?

Safer than the email and spreadsheets it replaces, if it’s built properly. We put the details in writing before anything switches on.

The Privacy Act 1988 covers every health service provider, whatever its size (OAIC), and the OAIC recommends businesses don’t enter personal information, particularly sensitive information, into publicly available AI tools (OAIC, October 2024). So we use business tiers whose terms say your data isn’t used to train the model, keep processing in Australia where the vendor offers it, and give you a written map of where each piece of data goes. From 10 December 2026, privacy policies must also explain automated decisions that affect people, and we write that paragraph for you.

For registered practitioners, Ahpra’s guidance on AI in healthcare keeps the practitioner accountable and says an AI scribe using generative AI will generally need the patient’s informed consent (Ahpra, August 2024). A clinician reviews every AI-assisted document before anyone uses it.

How do you measure time saved?

In hours and bookings, not “admin saved”. An hour back only counts if it turns into a booking or an evening off.

Each month we report three things: documents drafted and approved, with your team’s own before-and-after times; messages the system sent that a person used to send; and booked hours from your booking system, so you can see whether the time came back as bookings. You see the arithmetic, not a score. If a workflow isn’t saving time, we fix it or switch it off.

Is automation right for your business?

Good fit if

  • Your front desk sends the same five messages every morning
  • Reports or admin are capping how many clients each person can see
  • Enquiries or trials go cold because nobody followed up in time

Not the right fit if

  • You keep records on paper or in a shared drive with no booking system. Start with booking and membership systems.
  • You want AI to sign off clinical documents. The rules, and the risk, sit with the practitioner.
  • You need bookkeeping, payroll or claiming. A good bookkeeper does that better and cheaper.

How it runs

  1. 1. Tell us what you need One short form. We reply within one working day.
  2. 2. We map the admin Which messages, forms and documents take the most time, measured with your team. You get a written scope and quote.
  3. 3. We build and test In your systems, with de-identified examples, one workflow at a time.
  4. 4. We measure and tune Hours back reported monthly, and workflows updated as your services, staff or rules change.

What comes with every service

  • Catherine Withers, the founder, does the work, from the first conversation to the finished job. No hand-offs, no juniors.
  • Your scope and quote in writing before anything starts.
  • You own everything we build: the site, the content, the ad accounts and the data.
  • One monthly report on enquiries, bookings and clients back, with the visibility behind them. It runs on KYM AI, an independent platform, so the numbers don’t come from us marking our own homework.
  • Advertising rules built in: Ahpra rules for registered practitioners, consumer law for everyone.
  • Set up in the systems you already run: Cliniko, Halaxy, Splose, Nookal, Mindbody, GymMaster and more.
  • No long lock-ins. Ongoing work runs on a three-month initial term, then month to month.

Frequently asked questions

How much does AI automation cost in Australia?

It depends on scope: how many workflows, which systems, and whether a step needs AI or a simple rule. Pricing is quote-based, and as a guide, Go Forth Digital’s automation projects range from $2,500 to $10,000 ex GST. One workflow switched on and measured sits at the lower end; several workflows across your booking system, forms and reports sit higher. Tool subscriptions are billed to you directly, so you keep them if we part ways. More in our guide to marketing costs in Australia.

Can AI write our reports?

It can draft them from your notes. The clinician is still the author and stays accountable for every line. The draft lands in your template with goals, measures and progress pulled from your notes; the clinician corrects it, adds the judgement and signs. A report that took three hours can become a forty-minute review.

Will it replace our front desk?

No. It takes over the copying and chasing, so your front desk has time for the work that needs a person: the nervous first-timer, the client who turned up on the wrong day, the call that needs care. A front desk with time back answers the phone before it rings out.

Do we have to change our booking system?

No. We build around Cliniko, Halaxy, Splose, Nookal, Zanda, Mindbody, GymMaster and others, and your system stays the record. Where it has an API, workflows write to it directly. Where it doesn’t, results land in a queue your team clears in one sitting.

Is our client data used to train AI?

Not with the tools we use. We choose business and API tiers whose terms state your data isn’t used for training, and we give you those terms in writing with a map of where your data goes.

Where do we start?

With the one message or document that eats the most time. One workflow, switched on and measured, then the next. Most businesses know which one it is before we ask.
